Help & Guidelines

End-user guide for the PIDE Rolling Plans system — how employees plan and track work, how supervisors review it, and how leadership and admins use analytics and configuration. This page is public; you do not need to sign in to read it.

Getting started

Sign in

  1. Open the login page and enter your username or email and password, or use Sign in with Google if your institute account is linked.
  2. After a successful login you land on the Dashboard.
  3. Use Sign out from the header user menu when you finish.

Who sees what

Employee
Own dashboard, plans, tasks, profile, and notifications.
Supervisor / reviewer
Everything above plus Pending Plans / Pending Tasks and team performance (when you have reportees or review rights).
Leadership
View-only Executive Insights, Staff Directory, Individual Staff Reports, and the stakeholder Presentation (when granted).
Administrator
User management, org lookups, workflow settings, and system configuration.
Access is permission-based (RBAC). Having a “supervisor” title in HR does not automatically open review screens until the system grants the matching permissions.

Your profile

  1. Open Profile from the header menu.
  2. Complete your name and org details: designation(s), department, research center, wing, and school (mark a primary where asked).
  3. Save. Some actions require a complete profile before you can continue.

Notification preferences

On the same profile page, open the Notification settings section (or go to profile.php#notification-settings). Choose which events alert you and whether the header bell may play a sound.

Rolling plans

A rolling plan is your performance plan for a time window (start–end year). Tasks live inside a plan.

Typical steps

  1. Go to My Plans and choose New Plan.
  2. Enter title, period, and description; save as draft.
  3. Add tasks (see below), then submit the plan when your institute’s workflow requires supervisor approval.
  4. Track status on the plan list and detail page until it is approved or returned for revision.

Plan statuses (plain language)

Draft
You are still editing; not yet in formal review.
Pending review
Waiting for a supervisor or approver.
In progress
Active work period; you update tasks as you go.
Completed / locked styles
Work is finished and locked according to workflow settings.

Tasks

Tasks are the measurable pieces of a plan. Each task belongs to one of six performance categories.

Creating and updating a task

  1. From a plan, add a task and choose category (and subcategory when available).
  2. Write a clear title and description.
  3. Set Q1–Q4 targets (free text) and update progress % as work advances.
  4. Fill category-specific fields when shown (for Teaching: semester, course title, credit hours, course type).
  5. Submit for review when ready; respond to revision requests from your approver.
Progress percentages are what leadership dashboards use as numeric attainment. Targets stay readable text for your own planning.

Workflow & reviews

Exact gates depend on admin workflow settings, but the usual path looks like this:

  1. Draft — create and edit.
  2. Pending review — supervisor reviews the submission.
  3. In progress — approved for active work.
  4. Pending final review — you marked work complete; awaiting acceptance.
  5. Completed & Locked — completed and locked (counts toward completion analytics).

Approvers may request revision. Multilevel review may use Forward so a higher authority can act. Use the actions on the plan or task detail page — do not email attachments as a substitute for the system trail.

Peer review

Some tasks are assigned for blind peer review. If you are a reviewer, open the peer review screen, score the criteria (objectives, quality, timeliness, innovation, impact), and submit.

Reviewer identity is not shown on leadership dashboards. Only aggregate scores and criteria averages are used in analytics.

Notifications

  • The header bell lists recent alerts (submissions, comments, approvals).
  • Unread items can be marked read from the dropdown.
  • Adjust sound and categories under Profile → Notification settings.

For supervisors

Review inboxes

  1. Open Pending Plans or Pending Tasks from the sidebar.
  2. Open an item, read the detail, then approve, request revision, or (when available) forward.
  3. Badge counts on the menu show how many items still need action in your scope.

Team performance

Performance summarizes your reportee subtree: plans and tasks, completion, and progress. Use it for 1:1s; drill into individual plans/tasks for coaching.

Your inbox is scoped to people in your hierarchy (or org-wide if you have manage rights). You will not see unrelated staff work.

For leadership

Leadership tools are view-only analytics. Typical path:

  1. Executive Insights — org KPIs, unit comparison, quality, pipeline, risks, engagement, leaderboard. Use filters (year, department, wing, school) and the Group-by switcher.
  2. Click people on the leaderboard, dormant list, or risks to open a quick 360 drawer; use Open full report for the printable Individual Staff Report.
  3. Staff Directory — search and filter the cohort; export CSV or open a print pack.
  4. Team view on Insights — pick a supervisor to see their subtree before a meeting.
  5. Reports / Presentation — live 12-slide stakeholder deck with the same metrics; arrow keys to navigate; Print for PDF.

Suggested weekly rhythm

  • Read the Executive Summary band and Needs Attention / Dormant lists.
  • Filter by department for unit reviews; export cohort CSV for records.
  • Use Team view before supervisor 1:1s; open Individual Reports only when needed.

For administrators

High-level only — configuration screens live under Administration:

  • Users — create accounts, assign supervisors, import/export where permitted.
  • Org lookups — research centers, departments, wings, schools, designations.
  • Workflow — turn review gates on/off (plan submit review, final task review, etc.).
  • Peer Review Criteria — labels and order for the five scoring dimensions.
  • Roles & permissions (RBAC) — which roles receive executive.view, review rights, and admin tools.
  • Email / general settings — outbound mail and app-wide options.
Prefer soft-delete and inactive toggles on lookups instead of hard deletes so historical plans stay readable.

FAQ & tips

I am redirected to complete my profile

Fill required profile fields and save, then retry the action.

Completion % looks wrong on leadership screens

Analytics count completed locked tasks. Work that is still “in progress” or pending review is not counted as complete.

I cannot open Executive Insights or Pending Tasks

Ask an administrator to grant the matching permission (for example executive.view or review rights) to your role.

Print this guide

Use the Print button in the table of contents (or Ctrl+P). The table of contents is hidden on paper.

Privacy notes

  • Peer reviews are blind in analytics — reviewer identity is never shown on leadership dashboards or staff reports.
  • Rankings and engagement exclude admin and leadership accounts so viewers do not compete with operational staff.
  • Use Individual Staff Reports only for legitimate management and institutional reporting purposes.
